Conference sessions run smoothly and all participants have a positive experience at the event.

Session Management Chair

Responsibilities:

  • Coordination and management of sessions during the conference.
  • Assigning Session Moderators for each session.
  • Identifying relevant topics of interest for the sessions.

Session Management Lead

Responsibilities:

  • Working closely with the Session Management Chair.
  • Onboarding volunteers.
  • Keeping the session on time.
  • Interfacing with other teams and ensure the session runs smoothly.

Speaker Management

Conference sessions have a strong lineup of high-quality speakers and the presentations are well-organized.

Speaker Management Chair

Responsibilities:

  • Identifying and coordinating with potential speakers.
  • Ensuring the quality of presentations.

Speaker Management Lead

Responsibilities:

  • Working closely with the Speaker Management Chair.
  • Onboarding volunteers.
  • Managing speaker logistics.
  • Interfacing with other teams and ensure the session runs smoothly.

Attendee Experience

Attendees have a positive and memorable experience at the conference.

Attendee Experience Chair

Responsibilities:

  • Constantly communicating with attendees.
  • Planning and organising networking events and workshops during the conference.
  • Ensuring attendees’ questions or concerns are addressed.

Attendee Experience Lead

Responsibilities:

  • Working closely with the Attendee Experience Chair.
  • Onboarding volunteers.
  • Engaging attendees before, during and after the conference.
  • Interfacing with other teams and ensure the session runs smoothly.

Advocacy and Outreach

Conference has a wider reach (2x participation) and higher awareness than previous editions.

Advocacy and Outreach Chair

Responsibilities:

  • Identifying opportunities to engage with external organisations.
  • Developing outreach strategies for the Marketing team.
  • Monitoring and measuring the impact of advocacy and outreach activities.

Sponsorships Lead

Responsibilities:

  • Managing sponsorship opportunities.
  • Negotiating sponsorship agreements.
  • Onboarding volunteers.
  • Measuring the impact of sponsorships.
  • Maintaining sponsor relationships.

Marketing Lead

Responsibilities:

  • Working closely with Advocacy and Outreach Chair.
  • Onboarding volunteers.
  • Developing a marketing plan and budget.
  • Managing marketing campaigns and measuring their impact.

Event Operations

Conference runs smoothly and all aspects of the event are well-coordinated and organized.

Event Operations Chair

Responsibilities:

  • Planning the conference schedule.
  • Coordinating with all Chairs.
  • Mitigating operational risks and conflicts.

Event Operations Lead

Responsibilities:

  • Working closely with the Events Operations Chair.
  • Onboarding volunteers.
  • Coordinating with all other team leads.
  • Managing logistics incl. equipment, venue, food, transportation, accommodation, and other facilities.

Conference Registrations Lead

Responsibilities:

  • Working closely with the Events Operations Chair.
  • Onboarding volunteers.
  • Setting up the registration system.
  • Managing the registration process and data.

Volunteer

Responsibilities:

  • Completing specific activities assigned by respective Leads.
  • Assisting Chairs and Leads before and during the conference.
